Quick Report of Global Facilitation Workshop “SPOT on Facilitation in Japan” on 23-25 June 2016.

We held Global Facilitation Workshop “SPOT on Facilitation in Japan” on 23-25 June 2016.
This workshop was conducted by two facilitators Prabu Naidu and Janice Lua who are co-founders of Facilitators Network Singapore (FNS). FNS is a partner organization of Knowledge Signs in Singapore.
We forged close partnership for over three years on facilitation-related business.
This is the first time Knowledge Signs invited FNS to conduct SPOT workshop in Japan.

This workshop provides an opportunity to learn
How to engage and build up good relationship with people under diverse situation.
How to use facilitation skills in order to empower groups.

Participants with various background joined this workshop. Not only Japanese participants attended, foreign participants also attended. It provided a truly diverse environment. During the entire three days, all conversation was done in English.

 

Day1 Learning the fundamentals of facilitation

 
On Day 1 participants learn the fundamentals of facilitation. FNS SPOT on Facilitation means Space, Process, Outcome, Time. These are the key elements of facilitation.
In line with these four key elements, many tools, frameworks and methods are introduced.
Simple and graphical tools help us understand each other’s perspectives, and behaviors.

In learning these tools and techniques, many practices are provided. And participants need to interact actively with each other in these practices.
SPOT workshop is specially designed for learners to learn facilitation through interaction and practical experiences.

Day2 Group Facilitation Practice

 
On Day2, the workshop moves on to a more practical phase. On Day 2 participants are divided into four groups. And each group had to facilitate the meeting based on a given case. Participants took turn to role play as facilitators. Each facilitation session was 30 mins.

Each group has to discuss how to design 30 mins facilitation, Even though what kind of tools should be used is indicated, how to spend 30 mins is totally up to each group. So this designing process is tough and provided practical learning.

After each 30 min facilitation session, the coach gives feedback to facilitators and other participants also share their feedback. This practical session needs all participants’ active involvement.
 

Day3 Group Facilitation Practice with new cases

 
ON Day3 Participants took on another facilitation practice with new cases. This time, the case is not given. Participants created original cases as clients of facilitation.
In facilitation, the process of determining client’s requirement is very critical. FNS defines facilitation process as 4D. 4D means determine requirements, design, delivery with debrief and discovery.

In determining requirements process how to ask questions is the key factor for facilitators to surface client’s exact requirements.
Creating original case helps participants experience the real practical situation of determining client’s requirements.
In design, each group has to design facilitation independently.
On Day 3 the practice becomes even more practical and challenging.

On day 3 all practices are recorded on video and all participants can reflect on their facilitation session with feedback through the video.
SPOT workshop provides really challenging, practical and real diverse situation. At the end of workshop, participants receive a certificate of achievement that were hard earned.

19 years of MNC experience (1980-1999) with Philips, AT&T and Compaq which spanned diverse functions in Engineering, Materials, Project Management, TQM, HRD, Managing Change and Supply Chain Re-Engineering – these set the foundation for his current thirteen years (2000-2012) of training, facilitation and consulting work in organisational development.

He has designed and delivered numerous OD interventions for MNCs, SMEs, Government departments & not-for-profit organisations in Singapore and regionally for MNEs & SMEs. He is an IAF Certified Professional Facilitator (CPF) and an INIFAC Certified Master Facilitator(CMF). He co-founded the Facilitators Network in 2004 to upscale the competencies of facilitators in Singapore and the region. His lectures at professional institutions are always well received by the students as all his lectures are very engaging and facilitative. He co-authored SPOT on Facilitation.

Janice Lua  Co-founder of Facilitators Network Singapore (FNS) 

has a MSc (UK) in Technology Management and a MBA (Australia) in Entrepreneurial Management with more than 10 years experience facilitating organisation-wide change management, business process re-engineering, team building, creativity & innovation & strategic planning. She has facilitated regionally on social issues using methods such as The World Café, Open Space Technology and Future Search processes. She is a Senior National Business Excellence Assessor, Certified Management Consultant, Qualified Strengths
Deployment Inventory® Facilitator, PMI certified Project Management Professional, IAF Certified Professional Facilitator (CPF), an INIFAC Certified Master Facilitator (CMF) and CMF Assessor, and licensed Dynamic Facilitation Instructor. She co-founded the Facilitators Network in 2004 to upscale the competencies of facilitators in Singapore and the region. She co-authored SPOT on Facilitation.

Hideyuki Yoshioka(Co-facilitator) CEO of Knowledge Sings co.ltd.

Born in Kobe City,1963.Graduated from the department of business administration of Kobe University in 1986.
First career was built in Recruit Co. ltd., well known as “the most ambitious company bringing out many entrepreneurs in Japan”. Founded Knowledge Signs Co.Ltd. in 2003.
As a professional facilitator,uses the unique method of sharing knowledge through discussion. And adjusted this method to sales seminar that IT companies hold. Has been involved in facilitation based business over ten years.
The specialty is to apply the facilitation technique, launching skill-up training programs in sales and project management. Have given many lectures and published several books on facilitation and communication.
